Terms of Service (Booking Terms & Conditions)

These Terms of Service (“Terms”) set out the agreement between Castles & Causeway Tours (“we”, “us”, “our”) and the person making a booking (“you”, “your”). By booking a tour through our website, email, phone or contact form, you confirm that you have read and agree to these Terms.

1. Our Tours

1.1 We provide private guided tours in Northern Ireland, including full-day and half-day experiences, for groups of up to 8 passengers per vehicle.
1.2 Tours include transport in our vehicle and a driver-guide.
1.3 Tours are day experiences under 24 hours and do not include overnight accommodation unless explicitly stated. In most cases, our services are not a “package holiday” under the Package Travel Regulations, because they are single-day tours with transport and guiding only.

2. Bookings

2.1 A booking is confirmed when we send you written confirmation (email or message) and you have paid any required deposit or full balance.
2.2 The person making the booking must be 18 or over and is responsible for providing accurate information for all guests.
2.3 If you book on behalf of others, you confirm you have authority to accept these Terms for them.

3. Prices and Payments

3.1 Prices are shown on our website or confirmed in writing. All prices are in GBP (£) unless stated otherwise.
3.2 We may require either:

  • Full payment at booking, or

  • A deposit of [e.g., 20–30%] at booking with the balance due [e.g., 7 days] before the tour date.
    3.3 If the balance is not received by the due date, we may treat the booking as cancelled by you (see Section 7).
    3.4 Card processing fees or bank charges (if any) are your responsibility.

4. What’s Included / Not Included

4.1 Your tour price includes:

  • Private transport for your group (up to 8 passengers)

  • Driver-guide

  • Planned itinerary and photo stops

  • Pick-up and drop-off within Belfast (other areas by agreement)

4.2 Your tour price does not include:

  • Entry fees to attractions (e.g., Giant’s Causeway Visitor Experience, Dunluce Castle, Carrick-a-Rede bridge, distillery tours)

  • Meals, drinks, snacks

  • Optional tastings or experiences

  • Tips/gratuities (entirely optional)

5. Changes Requested by You

5.1 If you want to change your tour date, pick-up time, or itinerary, contact us as soon as possible.
5.2 We will do our best to accommodate changes, but they are subject to availability and may incur additional costs.

6. Changes or Cancellation by Us

6.1 We reserve the right to cancel or modify a tour due to events beyond our reasonable control, including severe weather, road closures, vehicle breakdown, or safety concerns (“force majeure”).
6.2 If we cancel your tour, you will receive either:

  • A full refund, or

  • The option to reschedule for a mutually convenient date.
    6.3 If we make a significant change to your tour (e.g., major route alteration), we will notify you as soon as reasonably possible and offer rescheduling or a refund for the affected part.

7. Cancellation & Refunds by You

7.1 Your legal right to cancel

When you book online, by phone, or via email, UK consumer law usually gives a 14-day cooling-off period for services booked at a distance.

However, this cooling-off right does not apply to leisure services provided on a specific date or during a specific period, as long as the customer is informed of this at booking.

Because our tours are leisure services scheduled for a specific date/time, the 14-day statutory cancellation right may not apply once you select a tour date. We therefore provide our own fair cancellation policy below.

7.2 Our cancellation policy

If you need to cancel, you must notify us in writing (email/contact form). Cancellations take effect on the day we receive your notice.

Unless otherwise agreed in writing, the following charges apply:

  • More than [14/7] days before tour date: full refund minus non-recoverable costs

  • Less than [72/48] hours before tour date or no-show: 100% of total tour price charged

7.3 If you cancel after a deposit has been paid, the deposit is [refundable/non-refundable] depending on the notice period above.
7.4 If you request a date change instead of cancelling, we will treat it as a reschedule where possible (Section 5).

8. Pick-Up Times & No-Shows

8.1 Please be ready at the agreed pick-up point 10 minutes before your scheduled time.
8.2 If you are not present within [15 minutes] of your pick-up time and cannot be contacted, it will be treated as a no-show and no refund will be due.

9. Guest Responsibilities & Conduct

9.1 You are responsible for your own safety and behaviour during the tour.
9.2 We may refuse transport or end a tour without refund if any guest:

  • Is abusive, violent, or intoxicated

  • Behaves in a way that risks safety or property

  • Refuses to follow reasonable guide instructions
    9.3 You must not damage natural sites or monuments. We support a “leave no trace” approach.

10. Health, Accessibility & Fitness

10.1 Some stops involve uneven ground, steps, coastal paths, or steep gradients.
10.2 Please tell us before booking about mobility needs, medical conditions, or pregnancy so we can advise on suitability and adjust the itinerary if possible.
10.3 We are not responsible if you are unable to participate in an activity due to undisclosed health or fitness limitations.

11. Weather & Route Conditions

11.1 Northern Ireland weather can change quickly. Tours run in most conditions, but we may adjust stops for safety or comfort.
11.2 If weather prevents a specific stop (e.g., bridge closure), we will offer an alternative stop of similar value.

12. Liability

12.1 We will provide tours with reasonable care and skill.
12.2 We are not liable for:

  • Delays caused by traffic, weather, or third-party closures

  • Loss or damage to personal belongings

  • Injury resulting from your failure to follow guide instructions or posted safety notices
    12.3 Our total liability to you is limited to the amount you paid for the tour, except where UK law requires otherwise.

13. Photography & Marketing

13.1 We may take photos during tours for marketing.
13.2 If you do not wish to appear in photos, please tell your guide at the start of the tour.

14. Intellectual Property

14.1 All content on our website (text, logos, images, branding) belongs to Castles & Causeway Tours and may not be used without permission.
14.2 Game of Thrones™ is a trademark of its owners. We are not affiliated with HBO/Warner Bros; references are descriptive only.

15. Complaints

15.1 If something isn’t right during your tour, please tell your guide immediately so we can fix it where possible.
15.2 If you wish to make a formal complaint, email [your email] within [14] days of your tour. We aim to respond within [7] working days.

16. Privacy

Your personal data is processed in line with our Privacy Policy on castlesandcausewaytours.com.

17. Governing Law

These Terms are governed by the laws of Northern Ireland / United Kingdom, and any disputes will be handled by NI courts unless consumer law provides otherwise.
